Approved extensions are in seven-day increments. Additional seven-day extension rates:

All cancellation and refund provisions are subject to applicable consumer law and non-waivable customer rights.
- Cancellation at least 48 hours before scheduled delivery: Full refund.
- Cancellation less than 48 hours before scheduled delivery: Reviewed case by case.
- Cancellation by ECO MOVING BINS when the booking cannot be fulfilled: Full refund.
- After delivery: Unused rental days and early pickup do not automatically qualify for a refund.
5. Delivery fees and service area
Delivery fees are calculated using road distance from 3059 Orion Boulevard, Orillia, Ontario, using the distance bands configured by ECO MOVING BINS.
The website must display the exact delivery fee before payment. If a fee is missing, an address cannot be located, or the address requires review, the booking must not be finalized automatically.
Automatic bookings are blocked for addresses beyond 100 km. Customers must contact ECO MOVING BINS for manual approval and a quoted delivery fee before confirmation.
No unconfigured or invented delivery charges may be applied.
6. Delivery, pickup and additional trips
Customers must provide safe, reasonably accessible delivery and pickup locations and be available during the agreed service windows. Exact arrival times are not guaranteed.
A $50 CAD additional-trip fee may apply when a delivery cannot be completed because the customer is unavailable or access is unavailable, or when pickup fails because the bins are inaccessible or not ready due to the customer’s actions or omissions.
The fee must be clearly disclosed in advance and is subject to applicable law. It does not apply when the failed trip is caused by ECO MOVING BINS.
6A. Included and additional dollies
Each rental includes one dolly. Additional dollies cost $10 CAD each as a flat charge for the rental, before applicable tax, and are subject to inventory availability. The selected quantity and charge must be disclosed before payment.
Customers must take reasonable care of all dollies and return them with the bins at the agreed pickup. Any proposed charge for a lost or damaged dolly requires a separately confirmed, clearly disclosed policy; no dolly replacement fee is specified in this draft.
7. Customer responsibilities and permitted contents
Customers must take reasonable care of the bins, store them securely, use them safely, and report loss, damage or safety concerns as soon as reasonably possible.
Bins may be used for ordinary household and office belongings, including clothing, books, kitchenware and office supplies.
Prohibited contents include:
Bins must not be used for climbing, sitting, riding or play. Customers must take reasonable steps to prevent unsafe use by children. These requirements do not exclude any legal duty that cannot lawfully be excluded.
- Hazardous or dangerous materials, explosives and toxic substances.
- Fuel, flammable liquids and solvents.
- Chemicals, pesticides and corrosive products.
- Wet, leaking or mould-contaminated items.
- Perishable food, food waste and pest-attracting items.
- Live animals or animal waste.
- Illegal contents.
- Loads exceeding safe carrying capacity or making bins unsafe to lift, stack or transport.
- Unprotected sharp objects that may injure handlers or damage bins.
8. Return requirements and cleaning
Before pickup, customers must:
ECO MOVING BINS cleans and sanitizes bins between rentals.
Ordinary moving dirt, light scuffs and normal wear and tear do not attract extra cleaning or damage charges. Excessive dirt beyond normal use may incur a $25 CAD excessive-cleaning fee per rental order, subject to applicable law and advance disclosure.
- Empty every bin completely.
- Remove all lids.
- Stack the bins neatly and safely at the agreed pickup location.
- Remove personal belongings and ordinary waste.
- Keep the bins reasonably accessible and notify ECO MOVING BINS of access restrictions or changes.
9. Lost, missing or damaged bins
A lost or missing bin may incur a $15 CAD charge per bin, subject to applicable law and clear disclosure.
Damage beyond normal wear and tear may result in reasonable, supportable repair costs. Where a bin is beyond repair, reasonable, supportable replacement costs may apply. Normal wear and tear is not chargeable.
Where reasonably practicable, ECO MOVING BINS will document bin condition with photographs or other evidence. Customers will be notified of proposed damage charges and given an opportunity to dispute them before the charge is finalized.
Condition photographs will not be used for advertising without separate customer permission.
10. Booking changes
All booking changes require ECO MOVING BINS approval and are subject to availability.
Any price difference or additional charge must be disclosed before the customer confirms the change. Changes are not final until approved.
11. Weather, safety and vehicle disruptions
Severe weather, unsafe road or access conditions, vehicle breakdowns or other unexpected events may require delivery or pickup to be delayed or rescheduled.
ECO MOVING BINS will notify affected customers and arrange a new time as soon as reasonably possible. If ECO MOVING BINS cannot fulfill the booking at all, the customer will receive a full refund.
A customer will not be charged a failed-trip fee for a disruption caused by ECO MOVING BINS. These provisions are subject to applicable law.
12. Customer belongings, liability and insurance
Customers are responsible for packing, securing and protecting their own belongings. Customers may be responsible for loss or damage resulting from their misuse or negligence, subject to applicable law.
Customers are encouraged to arrange appropriate insurance for their belongings. This agreement does not imply that ECO MOVING BINS insures the contents of rented bins.
Nothing in this agreement excludes or limits any responsibility, remedy or customer right that cannot lawfully be excluded or limited.
13. Privacy and recordkeeping
Customer information may be used for booking administration, inventory management, delivery and pickup, distance calculations, payment processing, invoices, refunds, agreement and acceptance records, damage disputes and customer support.
A separate Privacy Notice will explain the information collected, purposes of use, third-party service providers, retention practices and customer privacy requests.
Marketing communications will require separate consent where required by law.
The owner-selected draft policy proposes retaining booking, payment and accepted-agreement records for 7 years after the relevant tax year, then deleting or anonymizing them where legally permitted. Delivery addresses have a shorter proposed period of 90 days after actual return or cancellation, except where legally necessary. Disputes and legal holds pause deletion. These periods require lawyer and accountant approval; automatic deletion is disabled.
Where supported by the booking platform, acceptance records should include the customer’s name, booking reference, acceptance date and time, and exact agreement version accepted. Actual recordkeeping and email delivery capabilities must be verified before being represented as operational.
14. Online acceptance and agreement copy
Before completing an online booking, customers must be able to access the agreement and actively select an unchecked acceptance checkbox.
The checkbox must not be preselected. Booking completion must be blocked if the customer has not accepted the agreement.
ECO MOVING BINS intends to email the customer a copy of the accepted agreement after booking. The website must be tested to verify email delivery and retention of acceptance records before relying on these functions.
15. General terms and customer rights
The agreement, booking confirmation, disclosed package and delivery fees, and approved changes describe the rental arrangement.
If any term conflicts with a mandatory legal requirement, the applicable law prevails to the extent of the conflict. The remaining terms apply only to the extent legally permitted.
This document is a working draft, not legal advice or a guarantee of enforceability. An Ontario lawyer must review the final agreement before publication, particularly its consumer protection, cancellation, fee, privacy and liability provisions.
Draft review — confirmations still required
This draft is not approved for customer bookings. Ontario legal review is required for the agreement as a whole, including online contracting, cancellation and refund rights, additional fees, damage disputes and liability provisions. No fixed liability cap or exclusion of ECO MOVING BINS negligence is proposed here.
- Owner and accountant: confirm HST treatment for rentals, extensions, dollies, delivery and other charges.
- Owner: confirm whether the delivery quote includes both delivery and pickup, the service windows and scheduling cutoff, and how extension requests are made. A self-service extension request feature has not been verified.
- Owner and lawyer: confirm lost/damaged dolly treatment, safe bin load limits, overdue-fee timing and limits, and the process for notifying, disputing and collecting any additional charges. This draft does not authorize an undisclosed automatic card charge.
- Lawyer: review the no-deposit policy, 48-hour cancellation threshold, case-by-case late cancellations, cleaning/loss/failed-trip fees, and liability wording for compliance with applicable Ontario consumer law.
- Before launch: verify a payment-triggered confirmation with its accepted agreement copy and retained acceptance version. A standalone email test has been received, but the combined paid-booking email flow remains untested.
